Checking Document Status
After uploading your documents to CaseScribe, you can easily monitor and manage their status using the new processing groups in the Documents Tab. Documents are now automatically organized into the following groups for better clarity and efficiency:
Processing:
Shows all documents currently being processed by AI. You can now delete a document directly from this group if it was uploaded in error, is a duplicate, or is stuck processing.Errors:
Displays documents that require your attention due to classification issues, failed fact extraction, or other reasons described below.Agency General:
Highlights documents that need double-checking, such as those classified as “Agency General” or documents with no facts extracted.All Documents by Doc Name:
Contains all completed, processed documents, listed alphabetically.
Common Reasons for “Needs Review” Status (and What To Do)
1. Document Type or Classification Needs Manual Selection
What It Means:
The AI could not confidently classify the document (often shown as Agency General).What To Do:
Review the document.
Manually assign the correct Document Type (e.g., Agency, JD, SR, Evidence, etc.) and Classification (e.g., Rating Decision - Narrative).
2. Unable to Extract Facts
What It Means:
The system could not extract any facts from the document.What To Do:
Documents with no extracted facts are now grouped together for easy review.
Review each document in the "Documents with No Facts" section.
If you’ve checked the document and no facts are needed, click Verify to move it to “All Documents by Doc Name.”
If the document isn’t important, you can click Hide to remove it from the review group.
If you later find key info, you can always add facts manually.
3. Document Exceeded the 3,000-Page Limit
What It Means:
CaseScribe does not process documents over 3,000 pages.What To Do:
Split the document into multiple files, each under 3,000 pages.
Use a unique file name for each part to avoid duplicate detection.
4. Documents Failed OCR (Optical Character Recognition)
What It Means:
The document could not be read or converted by the system.What To Do:
Check the original document on your computer—ensure it opens and is intact.
If corrupted, repair using a PDF tool, or download a clean copy from your source.
Re-upload the fixed version, and delete the failed one from CaseScribe.
Ensuring Correct Document Classification
1. Verify Document Types and Classifications
Assign each document to the appropriate Document Type (e.g., Agency, JD, Evidence).
Each type contains specific Classifications (e.g., Rating Decision - Narrative, VA 21-526EZ, Notification Letter).
2. Handling Unclassified Documents
If a document doesn’t fit any existing type or classification:
You can leave it as unclassified or set Type and Classification as "N/A".
Note: The system will not extract information from files marked as "N/A".
Alternatively, assign the most appropriate Type and leave classification as "N/A" if needed.
