Updated Documents Tab in CaseScribe (June 2025 UI)

CaseScribe’s Documents Tab has received a major facelift! The changes are designed to make it easier and faster to find, group, review, and manage your case documents based on user feedback and to align with the new Facts screen UI. Here’s your all-in-one guide.

Key Changes & Why They Matter

  • Consistent Look & Feel: The Documents Tab now matches the Case Facts screen for a seamless experience.

  • Smarter Grouping: Documents are grouped by status (e.g., Processing, Needs Review, No Facts), making your workflow more intuitive.

  • Quick Actions: Easily verify or hide documents in bulk, and handle exceptions with just a few clicks.

  • “Chips” Quick Filters: Instantly focus on just the documents you care about, such as “No Facts” or “Agency General” types.

Opening the Documents Tab

When you open a case, you’ll start on the Case Summary, Facts, or Documents Tab. Click on Documents to see all your case files, ready for review.

Grouping and Filtering Documents

Document Groups

  • Processing: Newly uploaded or processing documents appear here first.

  • Documents with No Facts: Files that were classified but have no extracted facts. Use this as a quality check—review, verify, or hide them.

  • Agency General: A fallback category for ambiguous files. Double-check these to confirm their type or classification.

  • All Documents by Doc Name: Every document in your case, grouped by filename for easy navigation.

  • Errors: Users can click Restart AI Icon or directly message the Casescribe team for the errors.

You can collapse or expand each group, and use See All to view the full list.

Using Chips and Filters

  • Chips: Quick filter “chips” let you instantly view just “Documents with No Facts,” “Agency General,” or “All.” Switch between these with one click.

  • Show Filters & Sort: Click to filter by Type (Agency, JD, Evidence, etc.), Status (Needs Review, Complete), Documents Visibility Options, Date Range, or Source.

Sorting & Grouping Views

You can sort and group documents by:

  • Name: Alphabetical, similar to the VBMS view.

  • Type: Groups by document type and gives you chips to toggle between document categories.

  • Date: Documents are grouped by year for quick chronological navigation.

Toggle between these groupings using the controls at the top right.

Tip: By default, CaseScribe shows the original VBMS file name. Use the Display Name toggle to show additional info like the index number, type, and subtype for even more context.

Managing “Documents with No Facts” & Exceptions

  • Verify or Hide:

    • Verify: Moves the document to the main group—use if you’ve confirmed no facts are needed.

    • Hide: Removes the document from view in the “No Facts” group.

  • Bulk Actions: Hide or verify multiple documents at once to quickly clean up your workspace.

  • Warnings: If there’s an issue (e.g., misclassification), you’ll see a red warning icon and a suggested resolution.

Document Search

The Search Case bar lets you search across all files and content instantly—just type a keyword or part of a filename.

Opening & Working with Documents

  • PDF Viewer: Click a document’s name or icon to launch the PDF viewer in a modal window.

    • The document list on the left will reflect the filters and sorting set on the main screen.

    • Preview pages, verify or add facts, and edit document details—right from the viewer.

  • Edit Details:

    • Click the three-dot menu next to any file to edit its display name, type/subtype, document date, or even its color code.

Adding More Documents

Click the Upload button in the upper right of the Documents Tab to add new files to your case. The process for uploading and classifying is unchanged.

  • User feedback: The UI changes are based on what users like you requested—simpler grouping, better visibility, and a consistent experience.

  • Efficiency: SOPs across organizations are easier to follow, helping teams stay organized and compliant.
