Uploading Documents and AI Processing

This section explains how to upload a veteran’s eFolder documents and start AI classification and fact extraction.

Step 1: Prepare the Documents

Before uploading, unzip the folder that contains the veteran’s case files. CaseScribe requires access to the individual documents inside the folder in order to process them correctly.


Step 2: Add a Client

Create a new client in the system and enter the required client information.

Once the client is created, CaseScribe will automatically generate a Primary Case for that client.


If needed, you can also create additional cases within the client’s account.


Step 3: Upload Documents

  1. Open the case you want to work on.

  2. Browse to the unzipped folder on your computer.

  3. Select and upload the documents into the case.

You can upload multiple documents at once.


Step 4: Name the Batch and Start Processing

After uploading, you will be prompted to name the batch.

  • Enter a clear batch name (for example, “VBMS eFolder – Initial Upload”).

  • Click Save to begin processing.


Understanding the Processing

AI Classification and Extraction

Once processing begins, CaseScribe uses AI to:

  • Classify each document by type (for example, medical records, rating decisions, service records).

  • Extract key facts from certain document types where facts are relevant.

Not all document classifications will produce extracted facts. Some documents are classified for organizational purposes only and do not require fact extraction.


Facts and Summaries

The Facts Summary area is designed to highlight meaningful, case-relevant information.

If you believe a document should include extracted information but does not, you can manually add a fact to ensure it is captured in the case record.


Monitoring Processing Status

To check the progress of your uploaded files:

  1. Navigate to the Documents tab.

  2. Review the processing status shown for each file.

Processing status updates automatically as files move through classification and extraction.


Review Documents

After processing is complete, you can review the uploaded documents and extracted information.
