If a document from VBMS is not processing correctly in CaseScribe, it may be due to the file being damaged or corrupted at the source.

CaseScribe relies on the quality of the original document, so if the file itself is damaged, it may not process properly during upload, classification, or fact extraction.

How This Issue Appears in CaseScribe

When a document is damaged, you may see an error message like:

  • Needs Review Documents

  • Error 2: Issues with Document

  • “We could not process this document because it cannot be opened in a PDF reader. Delete this document and try again.”

These messages indicate that the file could not be opened or read during processing.

How to Confirm the Issue

Before taking further steps, verify whether the document is actually damaged.

  1. Check the document from the original folder.

  2. Open the file on your local computer

If the file does not open, appears blank, or shows errors, the document is likely corrupted.

Recommended Steps to Resolve

Step 1: Re-download the Document

Sometimes the issue is caused by a bad download.

  • Return to VBMS

  • Download the document again

  • Try opening the new copy locally

If the file opens correctly, proceed to re-upload it into CaseScribe.

Step 2: Re-upload the Document to CaseScribe

Once you have a working version of the file:

  • Upload the document back into the case

  • Allow CaseScribe to process it again

This typically resolves issues caused by incomplete or failed uploads.

If the Original VBMS File Is Still Damaged

If the document remains damaged even after re-downloading from VBMS, this means the issue exists in the original source file.

In this situation:

  • CaseScribe cannot repair or fix corrupted PDF files

  • Processing issues will continue until a valid document is available
