Understanding Document Categories in the Documents Tab

After you upload documents to CaseScribe, the AI automatically processes each file. During review, documents may appear grouped into different categories in the Documents tab.

These categories help you quickly understand:

  • How each document was processed

  • Whether any action is required

  • Where to focus your review time

This guide explains what each category means and what, if anything, you should do next.


1. Error: AI Process Failed

This category appears when CaseScribe is unable to fully process a document.

Common Reasons

OCR Failed
The system could not convert the document from image to text. This may happen when:

  • The file is very large (exceeded 500mb limit)

  • Processing exceeded a time limit

  • An internal processing issue occurred

Invalid or Corrupted Document
The document may be:

  • Damaged

  • Unreadable

  • Incomplete

How to Fix It

  1. Restart Processing

    • Click Restart All to attempt reprocessing.

  2. If the error continues:

    • Open the PDF on your computer using Adobe Acrobat, Chrome, or another viewer.

    • If the file does not open, it is likely corrupted.

  3. Re-download the document

    • Download a fresh copy from VBMS or the original source.

    • Confirm all pages load correctly.

  4. Re-upload to CaseScribe

    • Upload the verified file again.

If the document still fails after these steps, contact CaseScribe Support and include details about the affected document.


2. Documents with Missing Facts

This category includes documents that appear important but did not return any extracted facts.

Why This Happens

  • The document subtype has a fact-extraction rule, but no facts were found

  • The content is unclear or difficult for AI to read

  • The document does not actually contain extractable facts

What You Can Do

Option A: Restart AI Processing
Click Restart All to attempt fact extraction again.

Option B: Add Facts Manually
You can manually add any important facts found in the document.


3. Documents with No Facts

Documents in this category belong to subtypes that do not have fact-extraction rules.

These are typically:

  • Routine or administrative documents

  • Items that rarely contain meaningful case facts

You can still review these documents at any time.

If you believe a document type in this category should consistently produce facts, contact the CaseScribe team. Custom fact-extraction rules can be added to reduce manual work.


4. Agency General

This category includes documents that:

  • Do not clearly fit into existing subtypes, or

  • Could not be confidently classified

Even though these documents are unclassified, CaseScribe still:

  • Extracts and summarizes their contents

  • Helps ensure important information is not overlooked


5. All Documents by Doc Name

This view displays:

  • All classified documents

  • Documents that contain extracted facts

It provides a complete, organized list of documents in the case and is useful when you want to review everything at once.


6. Filtering and Viewing Options

At the top of the Documents tab, you can:

  • Filter documents by category

  • Turn off the Doc Grouping toggle

Turning off grouping displays all documents in a single list without categories, which can be helpful for linear review.
