How to Fix Failed Documents (Red Warning Icon)

If you see a red warning icon in a case, it means that one or more documents did not upload or process correctly. This usually happens when an upload is interrupted, such as due to a weak internet connection or a canceled upload.

CaseScribe provides a safe way to fix failed documents without duplicating files or losing any work.


What the Red Warning Icon Means

A red warning icon indicates that:

  • One or more documents failed to upload or process

  • The case may be missing files that were expected during the upload

Common causes include:

  • Internet connection interruptions

  • Uploads that were canceled before completion


How to Fix Failed Documents

You do not need to identify or upload failed documents one by one. The recommended approach is to re-upload the full document set for the case.

Steps to Re-Upload Documents Safely

  1. Open the affected case.

  2. Go to the Documents tab.

  3. Click Upload.

  4. Select the same case folder you originally used.

  5. When prompted, enter a new source name
    Example: 07-2025 eFolder Upload

  6. Start the upload.

Using a clear source name helps you track uploads later.


What Happens During the Re-Upload

During the re-upload process, CaseScribe automatically compares the new files against the documents already in the case.

  • Existing documents are not duplicated

  • Only missing or previously failed documents are added

  • Documents that are already present are skipped

Your Existing Work Is Preserved

All of the following remain unchanged:

  • Extracted facts

  • Tags

  • Comments

  • Manual edits

  • Document classifications

Because only new or missing files are processed, the sync runs faster than a full upload.


Verifying the Fix

After processing completes:

  1. Sort documents by name or upload source.

  2. Confirm that:

    • No duplicate documents appear

    • Previously missing documents are now present and processed

  3. If all failed documents were successfully uploaded, the red warning icon will automatically disappear.


Important Limitation to Be Aware Of

If an upload was started and then canceled midway:

  • The red warning icon may remain visible

  • Even if all documents are present and complete

At this time, there is no manual way to clear the warning icon in this situation. The icon does not affect case data and can be safely ignored once documents are verified as complete.
