How Existing Users Accept an Invitation to Join Another Organization

If you already have a CaseScribe account and are invited to join a second organization, the setup process is slightly different from a brand-new user invitation.

Inviting a New User vs. an Existing User

New User Invitation

If the email address has never been used in CaseScribe before:

  • The user creates a new password

  • The user sets up 2FA using:

    • A third-party authenticator app, or

    • A 6-digit code sent to email (applicable to guest users only)

  • The user completes account setup normally

Existing User Invitation (Second Organization)

If the email address already belongs to an existing CaseScribe account:

  • The user should not create a new password

  • The user must log in using their existing credentials

This is the most common point of confusion during multi-organization onboarding.


How Existing Users Should Accept a Second Organization Invitation

Step 1: Open the Invitation Email

  • Open the invitation email from CaseScribe

  • Click "Accept Invitation"

Step 2: Use Your Existing Password

  • Enter the same email and password you already use for CaseScribe

  • Complete login normally

Step 3: Click “Log In”

If you already have a CaseScribe account:

  • Click the “Log In” button

  • Do not attempt to create a new password

  • Do not click the “Continue” button

  • Then enter 6-digit code sent to your email or from the third-party authenticator app

After clicking the "Log in" button, the second organization will automatically be added to your account.

Step 4: Enter Your Credentials Again

After you have been added to the second organization:

  • Enter your credentials again and click Log In

  • You will be directed to your second organization

If you sign out and log back in later:

  • Use the same credentials as before

  • An organization picker will appear, allowing you to choose which organization you want to access


Switching Between Organizations

Once access is accepted:

  • You can switch organizations using the organization switcher under your profile button in the sidebar

  • No separate account is required

Your permissions may be different in each organization.

For example:

  • End User in one organization

  • Guest User in another organization or multiple organizations


Common Issue: Invitation Error for Existing Users

Existing users may receive an error if they accidentally click “Continue” to try creating a new account instead of logging in.

How to Avoid This

If you already have a CaseScribe account:

✅ Click “Log In”
✅ Use your existing password

Do not attempt to:

❌ Create a new password
❌ Click the “Continue” button
