You can update a guest’s access at any time from the Share settings for the client or case.
This allows you to extend temporary access when a guest needs more time or remove access when the guest no longer needs to review the case.
Extend a Guest’s Access
To extend a guest’s access:
Open the client and case that was shared with the guest.
Click Share in the case header.
Locate the guest whose access you want to update.
Open the guest’s access settings.
Update the Expiration setting to extend their access.
Save your changes.
The guest can continue accessing the shared content according to their existing access scope and permissions.
While reviewing the guest’s settings, you can also update their Access Level or other available permissions if their access needs have changed.
End a Guest’s Access
If the guest no longer needs access, you can remove their access from the Share settings.
Open the appropriate client and case.
Click Share.
Locate the guest whose access you want to end.
Open the options for that guest.
Select Remove access.
The guest immediately loses access to the content that was shared with them.
Removing Access vs. Deleting a Guest User
Removing a guest’s access to a client or case does not necessarily mean you need to delete the Guest User from your organization.
Use Remove access when you only want to stop the guest from accessing the shared client or case.
If the Guest User should no longer belong to your organization at all, an Admin can manage the user from Admin > Users.
Important Notes
Guest access can be updated without creating a new Guest User.
Review the guest’s expiration setting when access is intended to be temporary.
Removing access takes effect immediately.
If access is needed again later, the client or case must be shared with the guest again.
